Promos, discounts or signup fees? Just adjust the first payment.

Adjust only the first payment amount and invoice description per sale. Run welcome discounts or signup fees without creating extra subscriptions.

More room for promos. Without the admin mess.

You want to run a spring promo. A loyal member gets a personal deal. Someone signs up with a €10 welcome discount. And every now and then you charge a €25 signup fee.

All reasonable. All good for business. And all hard to combine with a single fixed subscription.

Until now, the workaround was usually: create an extra subscription. Or fix it manually after the fact. Time wasted, invoice unclear, your bookkeeper raising an eyebrow.

That’s why we built Flexible first payment. The simplest fix for the most common problem: you want to occasionally tweak the first amount — not the whole subscription.

What does it actually do?

On any manual sale you can change three things — only for that one sale. The subscription itself stays untouched.

1. The amount of the first installment
Plus, minus, or zero. Whatever you need.

  • + €25 signup fee
  • – €10 welcome discount
  • €0 via a promo or partner deal

2. The invoice description
No more vague line items on the invoice. You decide what it says:

  • “One-time signup fee”
  • “Spring promo 2026”
  • “Personal deal first month”

Clear for your member. Clear for your bookkeeping.

3. When the promo can apply

  • Always available
  • Or only on a new member’s first purchase

That way an existing customer doesn’t accidentally double-dip on your welcome offer.

Why is this useful?

Quick wins:

  • No more promo-only subscriptions cluttering your real ones
  • No more Excel workarounds
  • No more invoice mistakes
  • New leads convert faster with a one-time deal
  • And you keep one clean, organised administration

Especially handy if you run promos regularly or close 1-on-1 deals.

A real-world example

Summer promo, new member signs up:

  • First payment: – €15 discount
  • Invoice description: “Summer promo – welcome discount”
  • Only valid: on the first purchase

You tick it, sell the subscription, and everything lands correctly on the invoice and in the payment system. From month two, the direct debit picks up the normal price. No manual cleanup.

What you get out of it

More commercial freedom, less admin. A system that flexes with your campaigns instead of forcing your campaigns to flex around the system.

That’s exactly what AppyBee does for 800+ gyms and studios: 10–15 hours per week saved on admin, so you can focus on your members.
